Can we do a sparkler send-off at Emerson Fields?
Hey there engaged couple,
Every venue has policies and procedures that you may not see until you sign on the dotted line… or after you sign. We believe in being totally transparent with our policies and procedures (P&P) at your initial tour appointment. HOWEVER, we realize at the tour appointment there are SO. MANY. things to take in. We give each couple a packet of information at their tour that includes our rental agreement along with our P&P.
So, if you’ve been here and met us you should have these in hand. Here’s the thing, they’re pretty boring to read- we get it! Alas, here we are with this blog post in hopes of providing a “prettier” version of our P&P. We’re all about pretty. But we’re also about giving you tools and tips that will make your wedding day go smoothly and be MORE than your biggest dreams.
First things first- here is our full weekend rental Venue Guide that is packed with helpful information. Look over this even if you’ve been booked at Emerson Fields for a while now. It’s a living document and there’s new content added all the time.
Once you’ve had your initial questions answered in the venue guide, let’s dive in deep to the P&P.
We set up the venue. Set up includes both ceremony and reception spaces so when you arrive on the Friday of your wedding weekend at noon you are ready to start decorating, or prepping for rehearsal, or unloading the gown, or just relaxing while your vendors load in!
Attaching any decor to the painted surfaces of the venue is not allowed without prior approval. We’ve provided hooks for hanging decor. We are on site to help you with any decor questions.
The hanging smilax greenery in the first photo was pre-approved and took no fasteners. The second photo is what a typical Friday set up might look like when you arrive. The photo on the far right was from an event that didn’t involve guests going up to the balcony so it was a nice added touch to decorate the stairs. We are always excited about creativity and we are always around to answer your questions if need be.

Let’s do a quick rundown of specific P&Ps that are often asked about:
Loose confetti and glitter aren’t allowed because they are almost impossible to get cleaned up and could cause someone to slip and fall on the polished concrete floors. You can use organic paper confetti outside if it’ is biodegradable. (Check out Etsy)
If you’re using flower petals, we prefer real petals outdoors and artificial petals inside.
You can use real flame candles but we require the candle to be enclosed to keep wax from dripping on the linens. Candlesticks are allowed but must be extinguished when the reception dance floor opens.
Sparkler exits are allowed outside the venue if you provide a safe way to dispose of the used sparklers.
Bubbles may only be used outdoors.
Birdseed is phenomenal outside. Rice is okay but preferred to be thrown away from the walkways of the venue.
Fireworks are prohibited unless you have a licensed, professional fireworks display and have obtained written consent from Emerson Fields within 15 days of your wedding. Burn bans, dry weather seasons and location are always deciding factors. We have the sole discretion to cancel an exhibit based on these and any other factors at any time.
Just a few more…
Food Trucks are allowed, especially if they involve sweets. The north parking lot and near the back patio overlooking the lake are prime locations for these and we do have exterior power outlets. Food trucks are not allowed on the grass.
ANIMALS are loved here at Emerson Fields. No animals are allowed inside the venue, unless they are a service animal, but ANY outdoor ceremony can include your beloved pet. Pets need to have a handler and be restrained when not participating in a ceremony or photo op. Pets need to be escorted off the property to a safe boarding location after their big debut.
Outdoor Yard Games- solid YES. Always fun for guests and we love that.
We do allow temporary adhesive lettering hung on the brick walls but we’d like to talk more about that with you regarding types of adhesives that work well.
